We manage capital on behalf of various partners, including banks, insurance companies, pension funds, family offices, credit unions, and individual investors.
We are seeking an Associate, Loan Funding and Administration, who will be responsible for managing the administrative and operational side of commercial mortgage closings including construction loans and progress draw funding. Working closely with legal counsel, borrowers, internal teams, and 3rd party consultants, the incumbent will ensure loans are funded accurately, securely, and on time. This is an ideal role for someone with a sharp eye for detail and a passion for process excellence in commercial real estate finance.
Key Responsibilities
- Funding Readiness Review:
Review incoming funding packages to confirm alignment with the Commitment Letter, legal requirements, and internal approvals. Manage and maintain all syndicated loans reports including manual calculations of interest, skims, and share percentages calculation on all syndicated loans reports. - Legal & Documentation Coordination:
Liaise with internal and external legal counsel, title companies, and Relationship Managers to collect, review various documentation for corporate entities, legal, and Anti-Money Laundering to ensure risk and compliancy is protected and organize all documents required for closing. Coordinate issued Letters of Credit for Commercial Portfolio.
- Construction Lending Support:
Manage the draw process for construction loans, including reviewing consultant reports, tracking budgets, verifying lien waivers, and coordinating disbursements. Assist with syndicated construction draws, for led and non-led syndication loans. This includes coordinating with internal and externals parties to ensure correct documentation, searches are in place prior to funding - Conditions Precedent & Closing Checklist:
Maintain and track satisfaction of all funding conditions, including insurance, registration, corporate certificates, and third-party deliverables. Liaise and interact with borrowers, lenders, brokers, insurers, external vendors, and other departments to follow up for documentation and respond appropriately to any information requests - Funding Execution:
Coordinate wire requests and ensure all internal sign-offs are secured prior to disbursement. Collaborate with treasury and accounting to release funds.
- Post-Closing Compliance:
File all closing documents, update loan systems, and ensure completeness of records. Assist with post-closing checklists and audit requirements. Review, audit and track final reports for funded deals.
- Process Improvement:
Contribute to the development and refinement of checklists, templates, and procedures to improve efficiency and reduce risk in the funding process.

What we believe our ideal candidate will possess:
- 2+ years in commercial real estate finance, loan operations, or legal administration
- Experience with construction loans and progress draw administration is required
- Familiarity with commercial mortgage documentation, closing processes, and conditions precedent
- Exceptional attention to detail and organizational skills
- Ability to manage multiple deals under tight timelines
- Proficiency in Microsoft Excel and Word; experience with loan servicing systems is an asset
- Strong communication skills and a proactive, team-oriented attitude
